This Privacy Policy describes how we collect, use, store, and protect your information when using our HR management application EJ-YMCA Staff. The App is designed for employees and HR managers to manage leave requests, employee information, and working-hour logs.

2.1 Authentication Information

We do not collect passwords. Login is handled securely through Microsoft Azure Active Directory using MSAL Authentication. We receive basic profile data provided by Microsoft, such as:

  • Full name
  • Email address
  • Unique user ID

2.2 Employee & HR Data

Depending on your role (employee or HR manager), the App may collect and manage:

  • Employee profile data
  • Job information
  • Leave balances (annual, sick, etc.)
  • Leave requests and approval history
  • Time-leave requests
  • Logs of leaves and working-hour adjustments

2.3 Usage Data

We may collect non-identifying technical information, such as:

  • Device type
  • App usage logs
  • Date and time of access

This is used only to improve app performance and security.

2.4 Location Data

When using the attendance check-in feature, we collect your location data to verify presence at the workplace:

  • Geographic coordinates (latitude and longitude) during check-in and check-out

We request your explicit permission before accessing location data. You may refuse permission; however, this may prevent you from using the attendance feature.

We use the collected data to:

  • Authenticate users securely
  • Manage employee records
  • Process leave requests
  • Track leave balances
  • Provide HR reporting and dashboards
  • Improve app performance and usability
  • Record employee attendance and check-in/check-out

We do not sell, share, or use your personal data for advertising.

  • Authorized HR managers in your organization
  • Microsoft Azure services (for authentication only)

We do not share information with third-party advertisers or unrelated services.

5. Data Storage & Security

All data is stored securely on Microsoft cloud services. We use industry-standard encryption and security protocols. Access is restricted to authorized personnel only.

  • Location data is automatically deleted once the employee checks out.
  • All data, including location data, is protected using high-level security and encryption protocols.

6. User Rights

Depending on your organization's policies, you may:

  • View your data
  • Request correction of incorrect data
  • Request deletion where applicable

Requests should be made through your organization’s HR department.

7. Children’s Privacy

This App is intended for employees only and is not designed for individuals under 18 years old.

8. Changes to This Privacy Policy

We may update this Privacy Policy as needed. Any changes will be reflected with a revised “Last Updated” date.
